Roster data requirements

For privacy and ease-of-use, JOON requires minimal data to manage benefits recipient eligibility:

• Employee Information
  • First Name
  • Last Name
  • Work Email Address
  • Start Date
  • Program eligibility
  • Termination Date (when known)
• Optional Custom Metadata
  • JOON can process additional metadata that may be useful such as Employee ID or Department. Please note that for privacy reasons, we cannot allow sensitive information such as Social Security Numbers (SSN) or Dates of Birth (DOB). Roster files with such information will be rejected.

Roster syncing

JOON offers automated roster syncing with ADP, BambooHR, TriNet, Workday, and 30+ other HRIS and payroll providers. There may be a monthly surcharge for roster syncing. If you are interested in adding automated roster syncing, please ask your IT team to complete this brief questionnaire.

If roster management is not enabled, you can manually add or remove benefits recipients and programs within the platform.

Alternatively, JOON supports the following methods:

• Email Submission: Rosters can be sent as CSVs to [email protected].
• SFTP Server: For organizations with more than 100 benefits recipients, rosters can be sent as CSVs via a Secure File Transfer Protocol (SFTP) server.
• Shared Slack Channel: For organizations with more than 100 benefits recipients, a Slack Connect channel can be configured for sharing rosters as CSVs.

Manual roster management

Login to your account, click your initials in the top right, toggle to your Admin account, and click Users in the top navigation. Click Invite user to invite an admin or benefits recipient. You can select which benefits programs they’re eligible for and when eligibility begins.

To permanently terminate an individual’s benefits, click the settings icon under Actions for the corresponding benefits recipient, and click Terminate Benefits. Select the last day they should have access to their JOON benefits.

To temporarily pause an individual’s benefits, click the settings icon under Actions for the corresponding benefits recipient, and click Manage Benefits. Select the last day for their eligibility per program.

To resend an invite to a benefits recipient, click the cog icon and select Resend invite.
